Student Pass public website
Privacy notice
This notice explains how Kent Investment handles enquiries sent through the public Student Pass website.
Effective date: 24 September 2026. This notice covers the public website and its enquiry form. The invited private pilot app handles different information and requires a separate participant privacy notice.
Who is responsible
Kent Investment, Wougon Close, Accra, Ghana, operates this website and handles enquiries sent through it. Contact info@studentpassafrica.com for privacy questions.
What we collect
If you send an enquiry, we collect your name, email address, selected topic and message. The school or organisation field is optional. These details are supplied by you. We also create an enquiry reference, record the time and delivery status, and use a one-way hash of the connecting IP address to limit abusive submissions. Our web host may keep ordinary server logs.
Why we use it
We use the information to receive and answer your enquiry, consider a possible pilot conversation, keep a record of that conversation and protect the form from abuse. The required fields are needed for us to understand and reply to the enquiry. You do not have to submit the form; you can contact us by email instead. Please do not send passwords, student rosters, children’s names, photos or other children’s personal information through the public form.
Who can see it
Authorised Kent Investment personnel can review enquiries. The website host and email service handle information to deliver the form and messages. Notifications may be forwarded to a Kent Investment Gmail inbox, so Google may process those email copies under its service terms. We do not publish enquiries or sell their contents. We may disclose information if required by law.
How long we keep it
Submitted enquiries in the website database are scheduled for deletion after 90 days. Email notifications, replies, backups and server logs can have different retention periods; we review and delete them when they are no longer needed for the enquiry or a legal obligation. The 90-day period does not mean every copy disappears at the same time.
Your choices and rights
You may ask us what information we hold about you and request correction or deletion where applicable. Email info@studentpassafrica.com with enough information to locate your enquiry, such as its reference. We may need to verify your identity before disclosing or changing a record. You may also contact Ghana’s Data Protection Commission about a concern.
External services and changes
The public site loads web fonts from Google. Your browser may contact Google to retrieve them. Links to the private pilot app and external email services lead to separate services. We will update this notice if our collection or use of information changes and show the new effective date here.
